Day in the Life: Aroha, Not-for-Profit Operations Lead

A community not-for-profit runs on too few people and too much need, and the gap is usually filled with someone’s evenings.

Aroha runs operations, which on a team this size means she runs most things. The grant that keeps the lights on, the donors who fund it, the volunteers who deliver it. The work does not shrink to fit the headcount, so it gets done late, by the same few people, until one of them burns out and the gap grows wider.

This week the grant is due Friday, and it starts as a draft built from the organisation’s own past reports and the funder’s stated criteria, with the gaps she has to answer marked clearly. She writes the parts only she can write. The rest is already on the page.

The monthly donor update goes out in her voice, personalised where it should be, without her pasting names into a template forty times over. The volunteer roster fills against who is free and who carried the load last time, so the same few people are not worn down again.

On a team with no IT department to call at nine on a Thursday night, what matters is that the help holds. So the tools are built to be dependable before they are clever. Watched, backed up, and honest when they are not sure. Clever is no use to her if it falls over on the morning it matters.

By Friday the grant is in early, with time to read it twice. The donors heard from a person. The volunteers got a roster that respects them. The reason to invest is plain. A small team delivers more of its mission, the funding it depends on arrives on time, and it gets there without grinding down the people who do the work.
